    Common questions

What is the difference between a regular and a sworn translation?

A Sworn Translation ensures that the translation is a true copy of the original and is done by a public translator authorized by the government. When a document needs to be presented in another language for official purposes, such as legal proceedings, including immigration, business, tenders and licenses, for example, it is essential that it be translated by a translator officially accepted by the relevant authorities. Sworn translation is applicable in these cases.

On the other hand, a regular translation is an unofficial translation, done by professional translators and is generally used for informative or technical documents. They are used extensively for business documents, technical reports, clinical studies, balance sheets, among others. This type of translation does not require official recognition by the government (except for notarization) and does not need to be signed. They follow the format (appearance) of the original.

What is, and what is the purpose of the apostilled translation of documents?

It is the Sworn Translation of documents with a certificate of authenticity issued by the signatory countries of the Hague Convention, which is attached to the public document to attest its origin (signature, position of a government agent, seal, or stamp of the institution).

It is necessary to apostille a document whenever you need to submit it to any government agency overseas. This procedure is performed at the notary's office and certifies the legality of the document. It is important to emphasize that to apostille a sworn translation, the originating country of the document and the foreign country must be signatories of the Hague Convention. To find out if your destination is part of this treaty, check the list on the National Council of Justice (CNJ).

The apostilled translation can be requested at a notary's office; however, it is important to check whether the destination country is part of the Hague Convention agreement.

At Varendi, we handle the entire procedures with the notary offices and deliver the service ready for you.

What is a digital sworn translation?

A digital sworn translation is a way to obtain an online sworn translation with the digital signature of the translator, which guarantees greater security throughout the process, since the transmission of the information is encrypted. It also offers other benefits:

    • Less bureaucracy and faster delivery time: Streamlines the process by allowing the requester to address whatever they need online with just a few clicks;
    • Lowers the costs: This format eliminates the need to notarize the signatures of the document holder and the sworn translator, and there is no requirement to send the documents by mail.

Digital sworn translations is one of the services offered at Varendi Translation. Contact us to ensure your documents and materials are translated legally and safely.

Why are sworn translations more expensive?

Sworn translations are a specific type of translation that must be performed by a Public Translator (also known as “Sworn”), and follows the format, registration, and prices stipulated by the Board of Trade. It guarantees that the translation is a true copy of the original and has public faith (mandatory acceptance). Therefore, it is used for legal and official purposes, such as immigration documents, overseas studies, contracts, and legal sentences.

The price of sworn translations depends on the amount of text and follows the Official Fee Schedule. For this reason, if you are going to start an immigration process, marry a foreigner, or intend to work or study overseas, hiring one of these professionals is essential.

Short Form and Full Content Certificates. What is the difference?

The Full Content Certificate transcribes everything that is on the original documents registered at the notary's office.

On the other hand, the Short Form certificate provides a summarized version of a document or record made at the notary's office, containing the key and factual information. It is also known as “Traditional Certificate”, “Updated 2nd Copy”, or “Brief Report.”

When it comes to presenting translated documents for international processes, for example, citizenship applications, the difference between the two could be a hindrance to a satisfactory outcome.

Thus, some consulates may require the full content certificate to prove the family tree and the presentation of more specific data in regards to births, marriages, and deaths.

How to identify a sworn translator?

In order for the translation to be valid, it is very important to identify if the sworn translator presents their Board of Trade registration number on their letterhead paper.

In what situations is a translation done by professionals better than machine translation?

Machine and professional translations have distinct roles. While artificial intelligence is useful for simple and informal tasks, professional translation companies are essential to guarantee the quality and accuracy in other processes.

Machine translation tools are useful to provide a general understanding of a document or expression in another language. It is an alternative which assists in spoken and written communication for various day to day occasions, but does not fulfill the same role as professional translations done by humans.

Machine translations may alter the context, immediately compromising the quality and validity of important materials such as: company websites, scientific studies, visa and immigration applications, corporate and, technical documents, among others.

Whereas, with professional translations, the translator has the ability to understand the full meaning of the original document and accurately transmit the message in the target language, thus avoiding the incorporation of errors in the translated document.

Relying on a professional translation company is fundamental to ensure a service of superior quality.

What is a digital signature? How does it impact the delivery of a sworn translation?

A digital signature is made electronically using encryption to guarantee the authenticity and integrity of the translated documents, avoiding forgery or tampering.

A sworn translation with a digital signature has the same legal status as the printed one. Therefore, this type of signature eliminates the need to print and send hard copies, streamlining the entire process of obtaining the documents for translation.

Do Sworn Translations have an expiry date?

The expiry date of a sworn translation is the same as the document translated. Some examples of documents with expiry dates are: passports, driver’s licenses, and power of attorneys.

In the case of documents with no expiry date, such as diplomas, certificates, and school transcripts, the sworn translation does not need to be renewed.
